Administrator – Occupational Therapy

Location: Royal Glamorgan Hospital

Employer: NHS

Hours of Work: Part Time

Salary: National Minimum Wage

You will be a valued member of the Occupational Therapy (OT) team and work closely with the Band 3 OT secretaries on the RGH site. You will have the opportunity to gain experience in a range of general administrative tasks in a busy healthcare setting, developing your verbal and written communication skills, as well as IT skills using the Microsoft package and patient information systems.

The aim of this role is to provide administrative support to the Clinical OT Team and Principal OTs, enabling them to effectively and efficiently manage the OT Service and the clinical department, so that we can provide the best possible care to our patients.

 

  • Answer phone calls and record the information in the department message book or via email.
  • Collect and distribute internal and external mail for the department.
  • General photocopying, filing and appropriate disposal of confidential documents.
  • Calling and returning medical notes.
  • Filling of OT notes in patients’ medical notes.
  • Collate and input patient data such as referrals on to electronic patient records (e.g. Myrddyn) and update OT data onto excel spread sheets.
  • To contact and arrange appointments recording on appropriate recording systems.
  • Review and maintain stock levels for any material required for training sessions (safer handling, agendas/copies of minutes).
  • Review and maintain stock levels for any material required for patient OT notes (e.g. printing assessment sheets/referral cards, collating information packs).
  • Typing such as supporting the team with Word documents or PowerPoint presentations.
  • Understand and follow the department processes and procedures where applicable.
  • Support other admin colleagues as required and appropriate on site.
